Manager Leave Approval

Approve, Reject or Cancel Leave Requests

If you are the designated Leave Approver for one or more of your colleagues, you will see their leave requests and sickness reports in your self-service portal. You can approve, reject or cancel requests, and your colleague will be notified of your decision via email. You can open a calendar view of the leave history of everyone for whom you are the Leave Approver to help you to take a decision on pending requests

Approving leave requests

The first step is to open&nbsp;<b><i>Manager Leave</i></b><i></i>&nbsp;in the SSP where the number of leave request pending action is highlighted and this takes you to&nbsp;the Manager Leave summary page. <br>

<span>Leave request pending action are displayed under the&nbsp;<b><i>Leave Requests</i></b><i></i> tab.</span><br>

Click <span><i><b>Leave Type&nbsp;</b></i><span>to filter requests by different leave types.&nbsp;</span><i><b></b></i></span>

Click <span class=""><i><b>Leave Type</b></i> to display all.</span>

Click <span><i><b>Current Period (2018)&nbsp;</b></i><span>to view leave for this year.&nbsp;</span></span>

Click <span><i><b>Calendar&nbsp;</b></i><span>to see all leave requests allocated to you for approval through the calendar view.&nbsp;</span><i><b></b></i></span>

Click <span><i><b>Leave Balance&nbsp;</b></i><span>to view all leave balances for your team.&nbsp;</span><i><b></b></i></span>

<span>At a glance, managers can view the amount of leave requested by each team member and the remaining balance.</span><br>

Click the drop down arrow to view balances of different&nbsp;<span class=""><i><b>Leave Type.&nbsp;</b></i></span>

You can choose form the list of leave types to view used or requested leaves.

To review a request, click on the&nbsp;<i><b>Leave Requests</b>&nbsp;tab.</i><br>

The leave requested by each team member is displayed.<br>

<span>Click the dots against the request pending review.</span><br>

Click <span class=""><i><b>Respond</b></i>&nbsp;</span>

<span>This brings up the leave popup.&nbsp;</span><br>Click <span><i><b>Comments&nbsp;</b></i></span><span>to view chat history or send a message to staff member regarding their request.&nbsp;</span><span><i><b></b></i></span>

<span>After typing in the comment field, c</span>lick <span><i><b>Add comment</b></i>&nbsp;</span><span>to upload the comment to the leave request.&nbsp;</span><span></span>

To change the status of the leave request, click&nbsp;<b><i>-select-</i></b><br>

Select&nbsp;the relevant response.<i> </i>In this example, the request is being rejected.&nbsp;<br><br>

Click <span class=""><i><b>Save</b></i></span>

<span>Notice that the request, once actioned, has now disappeared from the pending list.&nbsp;</span><span>&nbsp;</span><br><span>If a request is rejected, approved or cancelled, it disappears from the list because no further action is required.</span><br>

To approve a request, click the buttons and select&nbsp;<i><b>Approve</b></i> from the list of actions.<br>

A Confirm Approval popup screen is displayed. Click <span class=""><i><b>Approve.</b></i></span>

To cancel a request,&nbsp;click the buttons,&nbsp;<br>

Select&nbsp;<i><b>Cancel&nbsp;</b></i>from the list of actions<i>.</i><br><br>

A Confirm Cancellation popup screen is displayed. Click&nbsp;<span class=""><i><b>Confirm.</b></i></span>

To add comments before cancelling a request, click the buttons and select&nbsp;<i><b>Respond&nbsp;</b></i>from the list of actions.<br><br><br><i></i>

Click&nbsp;<span><i><b>Comments</b></i>&nbsp;to add reason for cancelling the leave request.</span><br>

<span>After typing in the comment field, click&nbsp;</span><span><span><b><i>Add comment</i></b>&nbsp;</span><span></span>to upload the comment to the leave request.&nbsp;</span><br>

Select&nbsp;the relevant response.<i> </i>In this example, the request is being cancelled. <br>

Click&nbsp;<b><i>Save</i></b>

<span>If a leave requests needs more information before it can be considered, click the dots.&nbsp;</span><br><br>

Click <span class=""><i><b>Respond</b></i></span>

In this example, the manager is requesting a back to work interview when the staff member returns to the office.<br><br>Click&nbsp;<b><i>Back to work interview required.</i></b>

Click&nbsp;<i><b>Comments&nbsp;</b></i>to add details about the type of information required.<br>

After typing in the reason for requiring back to work interview. Click&nbsp;<b><i>Add comment.</i></b><br>

Click <span><i><b>Add comment&nbsp;</b></i><span>to upload&nbsp; the comment to the request.</span><i><b></b></i></span>

Click&nbsp;<span class=""><i><b>-select-</b></i></span>

Select&nbsp;<span class=""><i><b>More Information Required.</b></i></span>

Click <b><i>Save</i></b>
