How managers review sick absences

Alongside the standard leave request fields, CiviHR has additional fields for dealing specifically with sick leave requests. CiviHR Managers are easily able to monitor sick leave and request more information from the absent staff member. Depending on the type of sick leave, Managers have the option to select the following tickboxes:

  • Self certification form required
  • Back to work interview required
  • Return to work form required

Selecting these options indicates that more detail is needed. Managers can set the leave request status to ‘More Information Required’, and send the request back to the submitter for further action. All interaction with the leave request is stored in the system, creating a neat record of staff sickness.

Managing Sick Absences of Team in CiviHR

Any sick leave requests will appear under the Leave Requests tab in Manager Leave section.

Click on the request&nbsp;<span class="">to open it.&nbsp;</span>

When reviewing the request, managers have the option to ask for more information before the request is approved.&nbsp;<br><br>Selecting one of these options sends the request back to the submitter to show that more action is required.&nbsp;

To change the status of the request, click <span class=""><i><b>- select -</b></i></span>

For this example, select&nbsp;<span class=""><i><b>More Information Required.</b></i></span>

In the <b>Comments</b> section, add any messages to send back to the member of staff regarding their sick leave.&nbsp;

Click <span class=""><i><b> Add comment&nbsp;</b></i>to upload the comment to the request.&nbsp;</span>

Click <span class=""><i><b>Save.</b></i></span>

Selecting 'More Information Required' sends the request back to the submitter.&nbsp;<br><span><br></span><span>To demonstrate this, we have now switched to the Staff User view.&nbsp;</span><br>

<span>The sick leave appears in the Staff User's Open Requests table. This indicates that action is required before the leave can be reviewed.&nbsp;</span>

<p><span>When the Staff User opens the leave request, they can click the&nbsp;<b><i>Comments&nbsp;</i></b>tab to view any messages from their manager.&nbsp;</span></p>

Staff can add more comments to the conversation by clicking &nbsp;<span class=""><i><b>Add comment.</b></i></span>

To upload relevant files such as a doctor's note, Staff Users can click the&nbsp;<span class=""><i><b>Files </b></i>tab<i><b>.</b></i></span>

Note that CiviHR Staff Users can view this field but are unable to click or edit this area.&nbsp;

Returning to the CiviHR Manager view, a new notification appears in the Manager Leave tab to show that a new or edited request has been submitted.&nbsp;<br><br>

Note that the status has changed from 'More Information Required' to 'Awaiting Approval'. This is following the Staff User uploading documents and commenting on the request.<br><br>Click <span class=""><i><b>Awaiting Approval&nbsp;</b></i> to view the request.&nbsp;</span>

Click <span class=""><i><b>Comments&nbsp;</b></i>to view the latest messages.</span>

If the request has sufficient information to approve, change the status by clicking <b>-select-</b>

Select <span class=""><i><b>Approved.</b></i></span>

Update the comments section for more detail. Click &nbsp;<span class=""><i><b>Add comment&nbsp;</b></i> to upload.&nbsp;</span>

Click <span class=""><i><b>Save&nbsp;</b></i>to update the request.</span>
